After a Successful Completed Call

  1. Text and/or email the prospect with information on how to make a contribution
  2. If the prospect wants to donate via check, drop a letter in the mail with a solicitation envelope.
  3. Make sure their email is also on your email newsletter list.
  4. Add them to a pledge chasing flow.

Pledge chasing is a labor intensive but critical part of calltime. We have a detailed system detailed below. If you are a Maier Anderson client, we will handle all your pledge chasing ourselves.

After Gifts Come In

Online Gifts

Set up email alerts on your gift service so you can see them when they come in.

Make sure automatic thank you emails are going out.

Update your tracking sheet for each new gift.

Offline Gifts

When gifts come in that are not online (usually through mail), make a copy of the check or wire transfer and write the date it was received on that copy. Keep those copies in a 3 ring binder, sorted by date received.

Mark that check as received with the date in the database.

Scan the check and send it to your treasurer and at least one other person on your team. Include employer/occupation whenever possible.

Tracking Results

Callers will want to have two trackers for calltime, daily and weekly. They will cover:
